Solution: Step 2
Scanning
  • On-site
    • You can either have your personnel scan it under our supervision, or we provide on-site personnel who can scan the documents securely.
  • Off-site
    • Documents are shipped to our office, and we start by inventorying the documents, records and microfiche and maintain full control throughout the scanning process.  Documents are returned as soon as possible.

    • Accurate scanning of maps and large drawings accomplished through special scanners
    • Rapid scanning and image routing to secure server
    • Scanners are designed to automatically adjust image density to compensate for variations
    • Adjustments for certain drawings and scanning jacketed microfiche where density variations are common.
  • We can scan all types of microfiche:
    •  ranging from 16mm and 35mm jackets to 48x COM Fiche.
    •  We can provide bi-tonal images and grayscale images from microfilm.
    • COM, Jacketed, or 105mm fiche, your job will be done on time and within budget.

Proofing
  • Images are checked for clarity and rescanned if necessary.  Documents are proof-read and corrected.  Where there is ambiguity, a report is sent to the client for clarification.

    • We use manual data entry procedures and optical character recognition technologies to create index records for converted digital images. Alternatively, many of our customers furnish database extracts that we use to automatically create index records. Our accurate indexing facilitates the future retrieval of converted documents.
    • Data from completed forms, records, and cards is validated, and used to populate databases.
    • Periodic reports of ambiguity, verification and absent data is sent to you for your input.
  • QA through re-scanning, Double Key verification
    • We perform quality control checks throughout the conversion process. Our scanner operators, indexers, and quality control inspectors use various random and selective sampling techniques to identify image and index defects. Experienced operators re-scan defective images and correct invalid indexes to ensure that your source documents are successfully converted.
    • Double Key verification by another operator. This methodology, although time consuming, allows us to guarantee the index field integrity required to satisfy the exacting demands our clients have for accuracy. Once the primary indexes have been created, we can link these to the legacy data you might have on existing systems or other databases, which then magnifies the search criteria.

Implementation
  • Based on requirements the images and data from the fiche, documents, and records is provided in electronic media or software.  Software is customized and the database is populated.  The server and scanner are installed or we can manage your data through the ASP model.

    • Once the converted files have successfully passed all quality control reviews, we write the information to the customers’ specified delivery media. Most clients prefer delivery on CD ROM; however, we are prepared to deliver just about any type of electronic media and format.
    • The software provided by us gives you access to records stored in the database.
    • We can manage the server and database for you for a monthly fee and provide you secure access.  Alternatively the software can be installed on an existing system at your premesis, or a server can be provided with the software pre-loaded along with the data.
    • The server can be networked with the right scanner for your needs.
  • Customization
    • The software can be customized to your requirements and integrated with existing applications.
    • The scanner can be programmed to perform automatic tasks like database updates and automatic routing of scanned images.

Training and support
  • Training is provided to your personnel in use of software and hardware.  Support is on-site, phone and web-based for trouble shooting and services.

    • If you choose to have the server and other hardware on your premises, we will provide you training on operations and periodic maintenance.  Your personnel will be trained in software use.
